Project Overview

The Procurement Portal is a core enterprise SaaS platform used by procurement managers to plan, manage, and track procurement activities across warehouses.

Over time, the product evolved through incremental updates, resulting in inconsistent UI patterns, high information density, and growing design debt. These issues made it harder for procurement managers to quickly review data, make decisions, and execute daily tasks efficiently prompting the need for a thoughtful, system-level redesign.

My Role & Responsibilities

Role : UI & UX Designer
Responsibilities : End-to-end redesign, design system alignment, interaction design, and collaboration with product and engineering teams.
I worked closely with product managers and engineers to ensure the redesign was scalable and aligned with broader platform goals.

We interviewed a few operational staff members working in the warehouse to understand their day-to-day processes and highlighted the pain points they face on a daily basis.

Problem & Current Design Issues

Months of incremental updates resulted in inconsistent layouts, dense data presentation, and unpredictable interaction patterns across the procurement portal. Similar workflows behaved differently across modules, increasing cognitive load and training dependency for daily users.

As the product scaled, these issues became more visible in day-to-day procurement operations:

  • UI patterns evolved inconsistently over time, causing similar flows and screens to look and behave differently

  • Limited guidance at entry points made it unclear how users should proceed after login

  • Data-heavy views lacked clear hierarchy, reducing scanability and slowing decision-making

  • Dashboards surfaced many metrics without clear prioritization, increasing cognitive load

  • Procurement flows required high manual effort and external coordination

  • Shortfall tracking was fragmented across multiple screens, making resolution harder

  • The overall system was difficult to scale without significant rework

Research & Understanding

Online calls with procurement managers helped uncover real usage patterns and workflow challenges, directly informing key redesign decisions.

This persona represents the primary user group for the procurement platform and informed key design decisions around consistency, hierarchy, and workflow clarity.

Design Goals

Based on insights from procurement managers and observed workflow challenges, the redesign focused on translating fragmented, informal processes into a structured and scalable system that supports daily procurement operations.

The primary design goals were:

  • Reduce reliance on WhatsApp by centralizing procurement tracking and communication

  • Improve visibility and consistency across procurement flows and screens

  • Enable faster decision-making through clear hierarchy in data-heavy views

  • Create predictable workflows that are easy to learn and scale across regions

Scale & Execution

By relying on reusable components and layout rules, I was able to redesign over 220 screens efficiently while maintaining consistency across the platform.

Redesigned Screens

All redesigned screens follow a shared design system to ensure visual and interaction consistency across modules. This reduced design debt and made the product easier to scale as new procurement features were added.
